Action Items

An action item is a single piece of work within an action plan. It has its own code, its own performers, its own dates and its own state machine β€” which is what makes an action plan trackable rather than just a list.

States

StateMeaning
DraftBeing planned. No task exists yet.
ActiveAssigned. The performers hold tasks.
CompletedPerformed and recorded.
CancelledAbandoned.

When an item becomes active, the system creates a task for each performer.

Fields

  • Code / Name / Description β€” the item's identity and what is to be done.
  • Action type β€” from the action type list.
  • Action priority β€” from the action priority list.
  • Planned start date / planned end date β€” the commitment. The end date must not be earlier than the start date.
  • Performers β€” the people assigned to carry it out.
  • Organization units β€” the units the item relates to.
  • Informers β€” notification targets with no task.
  • Attachments β€” planning material.

Recorded at performance

  • Action performed β€” what was actually done.
  • Performed by β€” the person who did it.
  • Performed at β€” when. Cannot be a future date.
  • Perform attachments β€” the evidence.
note

Planning attachments and perform attachments are separate collections. What you intended and what you did are different evidence, and keeping them apart is what makes the record reviewable later.

Performing an item

  1. Open the item from your task inbox.
  2. Do the work.
  3. Record what you actually did β€” not a restatement of the plan.
  4. Set the performed at date and attach the evidence.
  5. Submit.

The system stamps you as the performer, completes your task and transitions the item.

When plans change

Dates slip and people move on. Rather than editing an active item directly, use a change request β€” an approval gate that records what changed, who asked, and who agreed.

Custom fields

Action items support extended properties defined for your organization through Function Design.

tip

Write the item name as a completed action, not as a topic. "Retrain Line 2 operators on WI-114" can be judged done or not done; "Training" cannot.
