What Is Document Management?
Document management is the discipline of keeping an organization's controlled documents β procedures, instructions, forms, policies, manuals β accurate, approved, current and available to exactly the people who need them.
A document is controlled when the organization can answer four questions about it at any moment: which version is valid, who approved it, who is allowed to see it, and where the printed copies are.
Why controlled documents matterβ
Quality management standards such as ISO 9001, ISO 14001 and ISO 45001 all require documented information to be controlled. In practice this means:
- A single valid version. When a new revision is published, the previous one stops being the version people work from.
- Evidence of approval. Who reviewed, who controlled, who approved, and when.
- Controlled access. Not every document should be visible to every employee.
- Tracked distribution. Physical copies handed out to a shop floor or a supplier must be recoverable when the document changes.
- Periodic review. Documents are re-examined on a schedule so they do not silently go stale.
Doing this on a shared network drive is where most organizations fail an audit. The module exists to make each of those five points automatic.
How QDMS Now models itβ
| Concept | Purpose |
|---|---|
| Document Folder | The hierarchical tree documents live in. A folder carries the rules β who may do what, who approves, who receives copies β that its documents inherit. |
| Document | The controlled record itself. Carries its revision number, owners, controllers, and one file per language. |
| Document Type | Classifies documents (Procedure, Instruction, Form, Policyβ¦). |
| Lifecycle | The state machine a document walks through before it becomes valid: Draft β Opinion β Control β Approval β Published. |
| Revision | A new round of the same document, keeping the same code and incrementing the revision number. |
| Review | A scheduled, post-publication re-examination cycle β distinct from the opinion stage before publication. |
| Distribution & controlled copies | Who is notified of a published document, and which physical print points must acknowledge it. |
Documents and formsβ
Every record is created as one of two categories, chosen at creation time and fixed afterwards:
- Document β a normal controlled document.
- Form β a controlled form. Forms additionally require one or more form usage types, which describe where the form is used.
What you need before you startβ
- At least one document type.
- A document folder tree that matches how your organization actually thinks about its documentation.
- The folder's authorization, approval, opinion, distribution and controlled-copy matrices, filled in with real identities.
- Distribution locations if you intend to track controlled physical copies.
