Viewing and Printing

The document view page is the reader-facing side of the module. It is deliberately separate from the create/edit screen: readers browse and read, they do not edit.

Every read, print and controlled-copy print is logged. This audit trail is what lets you answer "who had access to revision 3 of this procedure, and when" during an audit.

Browsing

The view page shows the folder tree filtered down to what you are actually allowed to see:

  • Only active folders you hold read authorization on are listed.
  • Folders whose entire subtree contains no documents are hidden, so you do not navigate into empty branches.
  • Inside a folder, only the documents you are authorized to read appear.

Reading a document

Opening a document resolves the correct language file for you automatically β€” the requested language, falling back to your interface language, its parent language, and finally the system default.

What you are served follows a fixed order of preference:

  1. The PDF rendition, when one exists. Watermarks apply reliably to PDF, so this is always preferred.
  2. The baked file, in which {{Token}} placeholders have been replaced with real values.
  3. The original uploaded file, if the document has not been published yet.

That is why a draft document still previews something sensible β€” you are seeing the raw template, placeholders and all.

Read confirmation

If the folder requires read confirmation, opening the document is not enough. A confirmation prompt appears and your read task stays open until you confirm. See Distribution.

Printing and downloading

Three separate authorizations govern what you can take away from the system:

ActionAuthorizationLogged
Print (uncontrolled)Print uncontrolledYes β€” recorded in the activity log
DownloadDownload view formatNo
Print controlled copyPrint controlledYes β€” recorded with the revision number in the controlled-copy log

Because these are separate permissions, you can grant a group the right to read and print a working copy while reserving controlled prints for the people who are accountable for physical distribution.

Watermarks

Print settings define a watermark per watermark type β€” controlled copy and uncontrolled copy. The configuration covers the watermark text, font size, colour, angle, position and opacity, and the stamp is applied to the file as it is served rather than being stored on it. See Print Settings.

note

Watermark text is used exactly as configured. {{Token}} placeholders are not substituted inside a watermark β€” write the literal text you want to appear.

Actions available from the view page

Depending on your authorizations and the document's state, the view page also offers:

  • Start revision β€” for owners and administrators, opens a revision directly.
  • Create revision request β€” for everyone else, opens the revision request approval gate.
  • Create cancellation request β€” opens a reason-only modal that starts the cancellation flow.
  • Details β€” a drawer showing the description, revision reason and description, the responsibilities (owners, controllers, responsible organizations), and the document category.
