Auditors

The auditor register is the list of people who may carry out audits. A user is not an auditor by virtue of having an account β€” being on this register is a deliberate act.

An audit's lead auditor must be on it, and the module refuses one who is not.

The record

  • User β€” the person. One auditor record per user.
  • Organization unit β€” where they sit.
  • Active β€” whether they are currently available for audit work.
  • Competences β€” what they are qualified in. See below.

Competences

A person is typically a lead auditor in one standard and an auditor in another, so competence is a list of rows rather than a single field on the auditor:

ColumnMeaning
Management systemThe standard the competence is held in β€” ISO 9001, ISO 14001, ISO 27001.
Competence levelThe level held. See Competence levels.
Valid from / valid toThe validity window. Both ends are optional: no end date means it does not expire, no start means it has always applied.
note

An expired competence warns rather than blocks when the person is put on a team. A qualification lapsing is a fact for the lead auditor to weigh β€” perhaps the renewal is booked, perhaps the person is attending as a technical expert β€” not something for the system to overrule.

Active and passive

Standing an auditor down removes them from the pickers for new audits. Audits they are already on keep them: who carried out an audit is part of that audit's record.

Bulk entry from Excel

The list's Import button downloads a template and loads it back filled in. The template has two sheets:

SheetOne row is
AuditorOne auditor: the user, the organization unit's code, active.
CompetencesOne competence: the same user, the management system's code, the competence level's code, valid from, valid to.
  • The user is named by user name or e-mail, whichever you have; an auditor has no code of its own. The Competences sheet names them the same way, and matching ignores upper and lower case.
  • A person with competences in several standards takes one row per standard on the Competences sheet.
  • A user, unit or code that matches nothing refuses that row. The rest of the file still loads, and the refused rows come back in an error file.
  • The same rules as the form apply: a person already on the register, and two competences in the same management system, are refused.
